Coulson Group Limited (“Coulson”) is committed to protecting your privacy and this Privacy Information Notice sets out our privacy practices. Please take the time to review this Notice carefully as it tells you how your personal information will be treated by us.

We are registered as data processors with the Information Commissioner’s Office (ICO).

As a result, please remember to refer back to the latest version of this notice which you can find on our website regularly to review any amendments.

The categories of information that we request or otherwise collect, hold and may share include:

  • Personal details such as names, addresses, telephone numbers.
  • Computer information such as IP addresses browsers and any website carrying a link to ours that you may have used. (These details are not linked in any way to your personal details)
  • Limited financial information to allow receipt of payment or process invoices.
  • We may also request certain other information to allow us to fulfil any or contract or agreement we have with you, this will always be with your permission.

The lawful basis on which we use this information

We collect and use information under the following lawful bases established by the GDPR.

  • Legitimate interests: the processing involves using your data in ways you would reasonably expect and which have a minimal privacy impact.
  • Legal obligation: the processing is necessary for us to comply with the law (submitting data to Government Departments for example).

Who we share information with

We routinely share information with:

  • local authorities
  • suppliers and contractors
  • government departments
  • other companies within the group

Why we share information

Other than the disclosures referred to in this policy, we will not disclose any personal information without your permission unless we are legally entitled or obliged to do so (for example, if required to do so by Court order or for the purposes of prevention of fraud or other crime).

We are required to share certain data with official bodies (such as Building Control, Planning departments and governing bodies).

To engage suppliers and subcontractors we may use to fulfil any obligation or agreement we may have with you.

Data collection requirements

To be granted access to any information we hold, organizations’ must comply with strict terms and conditions covering the confidentiality and handling of the data, security arrangements and retention and use of the data.

We do not keep data for any longer than necessary and do not allow its use for any purpose other than that for which it has been collected. Should new processes be introduced into the organisation or innovative uses of the data we hold, you will be kept informed at each stage.

We have implemented technology and policies to safeguard your privacy from unauthorised access and improper use and will make reasonable efforts to update these measures as new technology becomes available.

Requesting access to your personal data

  • prevent processing for the purpose of direct marketing

  • in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed.

Direct marketing

Coulson do not do direct marketing, we will only use your personal information to administer your account and to provide the products and services you have requested from us.
